Hi Katie,

Please see attached the letter from my employer explaining why we would need a second passport. If you think this looks good, I will write a similar one for myself and have his lawyer write one as a third person verifying as well that we are in need of a second passport. Please let me know if this is acceptable.

Hi Sarah,

Your employer's letter is on the right track but the passport agency wants to see dates in the future (vs. past trips). I've attached two sample letters (one written by you and one by an employer) that are the EXACT format they are going to accept. If you reference this Africa trip but include specific countries and dates (in the future), they will issue you a second valid passport.
